Office Administrator

As an Office Administration Associate, you will lead various office management and support tasks across our teams.  Ideally, you thrive working in a fast-paced, results-driven environment where you must balance multiple priorities at once.  We’re continuously building new products to create opportunities in technology, coding, marketing, and beyond.  In this role, you’ll exercise impeccable judgment to improve operational efficiency and help us continue to succeed.   Sound good to you? What you’ll do as an Office Administration Associate:

  • Coordinate and manage all aspects of office organization and efficiency by maintaining the appearance of common areas and conference rooms, handling correspondence, employee queries, and supply orders.

  • Provide administrative and logistical support to employees 

  • Distribute working stations and supplies to new hires and regularly update office plans and seating arrangements. 

  • Facilitate the planning and booking of business travel, transportation, and accommodations as necessary.

  • Maintain the office budget and coordinate with accounting and finance to ensure alignment.

  • Organize and prepare invoices for payment in coordination with the Accounts Payable team. 

  • Partner with the Office Manager to communicate with external vendors and suppliers. 

  • Monitor office space for any maintenance needs or critical safety issues.

  • Manage all employee vouchers as part of our social benefits - meals, birthday, parking, etc.

  • Participates directly in organizing and managing the processes for issuing visas, residence permissions, licenses for exercising operational activities in the USA, etc. 

What you’ll bring:   

  • A Bachelor’s Degree in Business Administration or another related field.

  • At least 1 year of professional experience in an office setting. 

  • Excellent organizational and communication skills with the ability to work in an open office environment.

  • A strong desire to work in a team setting and a passion for working with people.

  • Proficiency with Microsoft Excel and other core business systems. 

  • English Language – level C1, written and oral communication.

  • Strong organizational skills with the ability to work in a fast-paced environment.
